Thank you very much Lubos and your team. It’s a security feature I’ve been waiting for a long time. Greatly appreciate your effort.
Another big win! - Again, many thanks Lubos.
Thanks for the security setting available in your program.
What I need is that the user can only enter:
- New billable time Entry
- New Purchase Invoice
and not an overview of all billable times and purchase invoices. When we set only purchase ınvoices in user permissions, the user will see all purchase invoices of the company, that is of course not what we want, perhaps, showing only the purchases he/she made in enough.
The concept of ownership is coming soon. It will allow to set permissions in a way that user will see their own records only. Right now, it’s not yet possible.
HI Lubos
rite now when i select restricted user and give him only inventory module, sales invoice and purchase invoice, he can spend and receive money from sales/purchase invoices, which i dont want him to do that. his job is to enter purchase invoice so inventory will increase and sales invoice so inventory will reduce.
And
i assigned another employee with bank and cash accounts, only this employee should able to spend and receive money for all types of transactions like expenses, payslips, invoices etc. bcz he will be responsible for money transactions.
Isn’t there any plan to have activity log please?
That’s really need for me.
Hi lubos,
any update on this?
we need to see which user created/updated/deleted a record (activity log)
I just noticed a problem. Suppose an administrator has created 2 different businesses with 2 different admin users being made incharge of each of them. Biz-A has nothing to do with Biz-B. Under your current system, Biz-A administrator can see Biz-B accounts as well and can also modify users of all other businesses as well as the administrator.
If User-A has been made administrator to Biz-A only by the main system administrator then he should be able to create and modify users for his Biz-A only. I would suggest administrator roles being divided into “Server administrator” (main server admin having unrestricted to all businesses and users) and “Biz Administrators” having unrestricted access only to businesses (assigned by Server administrator) and users under his businesses only.
I am using Server Manager Ver: 16.1.77 and cannot see options as given in above image.
Have you read the guides? Manager Cloud
Yes, I have read the article as well but the options being mentioned there are not available in mine. The fields that I am getting are as follows;
Name
Username
Password
Role (contains options of selecting Administrator or Restricted user)
“Update” and “Delete” buttons
The above are all the fields available in mine.
Users who are created as Administrators have access to all businesses, all users… basically everything.
Any restriction you place on a user, that user is no longer an administrator, they are Restricted user.
When you set up restricted user, you can then specify what businesses they can actually access.
See: Manager Cloud
Any update on ‘Activity log’? Be great if we can have this
I have started a small bookkeeping p/t firm, is it legal to use Manager software?
Yes, there are many bookkeepers who use Manager
Speaking only truth; Cloud Version of Manager is the most responsive cloud accounting package ever seen. I have tried almost all big names, but when it comes to loading data, only “Brightbook” will come close to Cloud Version of Manager. All other Big Names have failed on that. This includes Quickbook Online, Odoo, Wave Accounting, NolaPro, GEM Accounts, Xero, Freshbooks, Sage50, Slickpie and others. If you want a web accounting software which will not frustrate you in responsiveness; then go for Cloud Version of Manager: Thumb up on this…
Then, assist me on this…
I would like to use Cloud Version of Manager, but here are the issues I have come across and I would like to request you (manager tech and users) for the best practices and way forward regarding to user permissions:
-
If users are granted the permission to UPDATE, they can even update the cash account which are working with (for instance: they can add, edit or remove opening balance). Hence I have found that it is better to give users the permission to VIEW and CREATE only. But still there is a possibility for them to CREATE new cash accounts from that permission. So how do we go with this so that users will have the permission to view posted transactions, edit their transactions only RECEIVE MONEY and PAY MONEY only without disturbing the main cash account.?
-
A user can update or delete transaction created by another user if they are sharing the same cash, bank or any other GL account. For instance, if I grant to users the ability to create and update EXPENSE CLAIMS.
-
What if I don’t like users to edit prices of products.
SUGGESTION
:
- The fields “New Cash account” and “Edit” (beyond the named cash account) should be READ ONLY to a restricted user. Otherwise, administrator will not relax by watching what users are doing all the time.
This link is not working any more.

I bough the Server Edition yday and when I create a User, I am only able to make him an administrator or restricted user. In restricted user, I am able to assign the company that he can access. But now I am interested in giving different access to employees. sales. accountant etc.
How is that possible in the Server Edition ?
Regards
Malai
When you create restricted user and assign them businesses, under Users tab, you will see each business under each user. You can click on business name under Users tab to further set permissions what users can and can’t access.
The process of setting up permissions is more complicated than it needs to be. This is one of the aspect addressed in new server edition which will be released possibly today.
@faraji5, I know what you mean. User permissions are far from perfect but this is complex issue and it’s all about finding the right balance between flexibility and simplicity.
For example, opening balances will be possible to be “locked” in future which will prevent casual users to change them.
Dear @lubos
as you know in accounts we there is always confidential information that must not been seen from other. is it possible to add create and view the entries made by the user him self of just create. I notice that the view and create access will give the user permission to view other sensitive information that must not be seen.
I have seen in other software it will give you the choice to select what permission to give to the user
it will be very much appreciated if you priorities this subject and implement soon
