The age analysis does not show all the customers

The Aged Receivables report includes only customers with receivables, not all customers. That is, after all, in its title. If you want a list of receivable amounts, including zero balances, you will need to copy the Customers tab listing to a spreadsheet and create a report there.

@restdev, your posts are confusing. First, can you confirm that you are, in fact, discussing the Aged Receivables report? There is nothing in Manager named “age analysis.”

You have said both that the missing customers are active and inactive. You have said that “All the zero balances also show a zero amount in the 90+ days column.” Why would a zero-balance customer not show zero in the 90+ days column? It should show zero in all date ranges. But you began by complaining that customers are not showing, yet you describe what is displayed for them them. That does not make sense.

Remember, no one on the forum can see your records. We can only work with what you explicitly show us.

However what I am trying to convey is that the zero balances that appear on the report are balances that relate to inactive customers the zero appear in the 90+ days column and the balance column
My understanding is that Zero balances should not appear on the age receivables

Another interesting observation
We tried to delete a number of age receivable reports but after deleting it was back again We create a report with today’s date and save it it seems that it automatically changes the report to the new date

The thing is “today” is dynamic.

You can create a single report with today’s date and it will always be current balance.

If you need historical reports, you can create them at date-1 or less.

Finally, I understand what you have been trying to convey. The screen shot would have saved much time if you had included it in your first post.

Let’s confine ourself to one customer: BIRK001. To figure out why this customer is included, you need to examine their Accounts receivable balance. You can do that at least three ways:

  • Drill down from the Summary page on Accounts receivable and that customer
  • Edit the Aged Receivables report by checking the box to Show invoices
  • Drill down from the Aged Receivables report by clicking on the customer’s name

This will allow you to identify why there is a zero balance showing in the 90+ days column. It could be, for example, that you have offsetting invoices that have not been settled, but cancel each other out. But there could also be other reasons. The answer will come from examine the sales invoices responsible for the inclusion.

Things are only a little bit clearer. You should show the Edit screens of these transactions. And if you need to show the View screens (or any screen, for that matter), show the entire thing. As is, I can only guess that these might be sales invoices.

From what I can see, however, you may have issued a credit note for €25 when the balance due on a sales invoice was €40. That alone explains why the customer shows on the Aged Receivables report. And you might have received an excess payment on a different sales invoice, leaving it in an overpaid status. The two just happen to produce a net receivable of zero. But neither sales invoice is satisfactorily closed out.

The way to settle a bad debt, moreover, is not with a credit note. That implies the customer did not owe you the money. A bad debt should be written off to an appropriate expense account. See the Guide: Write off bad debts | Manager. While it is possible to achieve the same financial result with a credit note, it is easy to get the tax adjustments wrong. And you might run afoul of local regulations or accounting standards by using a credit note.
