Remove "Paid in full" invoices from the drop down list

So, the request is still here. So far I couldn’t find in explanations, any good reasons why paid in full invoices can’t be removed or hidden from the drop-down list. Also, I don’t want to waist time to look for that answer because for the last minimum 4 years Manager.io team simply ignores this request.
I couldn’t find a clear explanation why we have to see 5-4-3-2 years old paid in full invoices first in the drop down list. The reason why Manager.io doesn’t want to sort SQL search result in different order is unknown. All common sense says in 99.9% we deal with the fresh invoices, not with the 2years old.

Anyways, I work with free version which covers 90% of my needs. It is silly to complain if paid nothing.
However, when time comes to go on paid version, will I stay with it?

And not only hide the ones paid in full but also show the balance due of the unpaid invoices. That would make life so much easier. Let’s hope Lubos now finally takes action upon this request.

Hi, I have the same problem because not every supplier has invoice numbers that follow. I have suppliers that start their month with new numbers every month so it is hard to find the one invoice that is unpaid as the drop down menu has all invoices listed. This is a total waste of time. Today time is money lost if searching for the correct one. I put the date in from of the invoice number and this helps. I am also on the free version. Can this problem be rectified?

I understand the decision of @lubos but also the needs of many users. Given also the fact that this kind of facts happens frequently under Manager for different point of views, how about creating a specific section of the settings, Special Settings, made only of flags to change these behaviours.

The first one can be:

Remove fully paid invoices from accounts receivables/payables drop-down lists - ON/OFF

In the near future, seeing the requests in the forum, we will have many.

The only thing is that I don’t know if it is compatible with the implementation paradigm of Lubos who wants to keep everything very simple.

I’m sure this request will be added someday. The reason why it is not already available is that you can use another workflow to avoid having to go through the list of invoices still open.

You can easily pick out the specific unpaid invoice, click on New Payment and have the balance due automatically entered in the amount field right from the Invoices and Suppliers Tabs (you can make changes if you want). Also, no one just opens a system and starts entering payments, you will be looking at a document as you use the system, you should be able to search for the invoice # with the information on the documents. If invoices come without invoice numbers, generate invoice numbers and write it on them, if they are soft documents, generate a meaningful invoice reference number for it. For example ‘Brill.Sept.8.20’ For Brilliant company’s invoice received on September 8 2020.

I recommend this workflow but I know others may not have the time to be moving between tabs and may want to stay in the Receipt and Payment Tab to enter payments/receipts.
I also know this workflow is not possible if you intend to pay more than one invoice but if you intend to pay more than one invoice, you are 99.99% of the time going to pay old invoices first and Manager already does that if the amount is entered but no specific invoice is selected.

I have searched through Ideas and didn’t find this request there. I believe this deserves to be there. I believe closed invoices (both Sales and Purchases Invoices) should not be displayed in the payment/receipt forms so I’m adding this to ideas to get it added in the future.

Or the user can also copy Statements to a new receipt/payment.

Why not have this linked to every customer / page, so users can view the list of unpaid invoices, view the outstanding amounts and copy the entire statement and then making adjustments instead of entering the whole thing. This is a less complicated way.

Personally, I prefer @Abeiku’s workflow of choosing invoices in supplier page and just clicking pay.

This will help as if you have like 5000 invoice for one customer it take long to find unpaid invoices to link to payment

In a case like that, @Hennie_Groenewald, you should just start typing the invoice number into the Invoice field. Possible matches will progressively narrow as you continue.

It reminds me a “Dead Horse Theory”. There is no problem if you know how to deal with it. Does it eliminate a problem?

Even @lubos agreed at one point that something like this would be a good idea:

At the top of this “idea” that was never made an idea, was an enhancement to add the outstanding balance to the dropdown of invoices, this to me would be an awesome improvement.

If:

  1. the dropdown only included invoices that weren’t acquitted, and
  2. had the outstanding amount in the same dropdown (invoice number on the left, balance on the right)

ohhhh how sweet that would be.

this is totally an example and only to illustrate a point, but in manager, where you enter the invoice number, when the dropdown appears, if it had multiple columns and one of those columns had the amounts outstanding, I would think this would be a great feature to have (unrelated, but similar in concept):

I’d love to see only open invoices and also to be able to see the balance in the drop down. Anyone else just receive a Cheque sometimes without remittance details and need to figure out how to apply it? Perhaps a checkbox at the top of the drop-down to allow ‘closed’ invoices to be included when desired?

This also applies to purchase invoices as well. It irritates me that I have to go through a very long list of invoices already paid . The problem becomes more evident when there is no remittance advice.

Removing paid invoices is a great idea for day to day working but the question I have is if a search on invoices for a customer is carried out I hope all related invoices for that customer are presented both paid, unpaid and partly paid. Essentially I am hoping the full search results will be displayed as they are now when searching.
It really makes things easy during a customer phone query to have all their invoices be presented as opposed to just the unpaid invoices for example.

I think paid invoices shouldn’t be removed. I think they shouldn,t be shown in all cases.

I think that there should be, as in many other cases, a flag under settings to activate or deactivate the filtering. Manager is becoming adult and I think that it is time to face the fact that everyone has a different way of working and different exigencies.

Hennie I agree with you and in any case most company invoicing and outstanding lists are pages long so there would be no real benefit if “Paid” invoices were hidden, we always have to search / lookup customer invoice detail anyway.

Hi, I agree with this. Nobody wants the invoices paid removed from the Customer or Supplier detail but only from the bank accounts when making a payment. It is very time consuming when doing a transaction from the imported bank detail to search through all invoices. Not everyone used numbers randomly. Some places start their invoices from new number every month. I only have a small detailed company but I can imagine if there were 100’s of invoices to go through every time someone pays or you pay a Supplier. I have been putting the date 1st then invoice number for the time being till this is sorted out if ever.

My 2cents?

  • Why mentioning the word “Invoice” constantly while the drop down box already says “Invoice (optional)”, rather than mentioning “#invoice no. - unpaid amount”?
  • Further, sort the list on invoice no. of unpaid and partly paid invoices first, followed by the full paid invoices in grey.
    Remove nothing.

Compuit: please clarify how your are planning to “always have to search / lookup customer invoice detail anyway.” from the drop down list when associating bank transactions with invoice number(s)? You have a huge list of invoice numbers starting from the day 1 (let’s say 5years ago) and you need to find one to link to bank transaction. At this moment you want to “search / lookup customer invoice detail anyway”. How and why you want to do it right from the drop-down list?

It seems like some replies in this topic has no relation to the initial question: why we need to see all invoices (including paid) starting from the very oldest in drop-down list when selecting invoice number to link payment from the imported bank statement.

In our case we have pages of invoices in the unpaid state so what you see in Manager from the Sales Invoices tab is a lot of “Orange” and maybe “Red” status invoices. Green “Paid” invoices do not feature on the first few pages so so having them hidden is not really an advantage. What does worry me is that having them hidden may alter lookup / search results.
