Prospect to Customer

Prospects are those who inquire from an entity for their goods and services. Prospect turns to Customer, when one decides to register oneself with an entity and buy goods and services.

We have system of recording all inquiries from the prospects. We would like to know whether is there any provision Manager can assist us where we can record the same in Manager with basic information at the early stage at least to reconnect them and the same can be use or clone to second stage i.e Customer when one is actually willing to register and place the order or agree to have services.

You could set them up as a customer and use a custom field to distinguish between Prospects and Customers

We have opted for second option and suggestion. However, it is getting difficult to manage. Besides, Customer number shows larger which is not the case in actual.

If Manager can think of a tab like Sales / Purchase Quote which do not have any implications and it can be clone or copy to SI / PI etc as and when needed. I think, this idea might work.

You could use a custom report to show customer with an invoice during the last say 2 years.

Or you can ad a drop down custom field to Customers tu classify prospects vs active

You could also look to use the Code and Business Identifier field for example:

Code: PS00001 (Prospective Student 00001)
Business Identifier: Prospective Students

You could then search Customers for PS and they will show you the whole list.
Once a Prospective student becomes enrolled you can Clone this student (in view) and change the PS to ER00001 and Business Identifier to Enrolled. The entry with PS should also be edited to become inactive. After the student ends / completes the study you can edit the ER to become inactive also.

You can create some themes that you can use for forms so it reflects the eduction sector.

Can you guide further with some specific for custom report w.r.t to invoice specially.

Custom reports only show data linked to the general ledger ie with financial transactions.

As a result you can not use custom reports to show customer customers who have no financial transactions.

Try creating a custom report

  • show an sort be customer
  • use collapse to hide duplicates
  • add a date range or other search terms as required
