I am not sure if this is a bug, but I have discovered that if I put in any text in the description field, I no longer see the invoice number in the description field.
Should it not be Supplier - Invoice Number - Description Field Contents upon viewing the payments form.
the line item description field does not show on payment voucher because it is mostly used for internal use.
i do not find any use of it personally because the supplier name and invoice to which the payment has been applied is clearly shown. other details like reference number is also shown separately. any other details that need to be shown to the supplier can be entered in the Description field of the voucher itself.
there is no need to show the supplier any descriptions meant for internal use.
I am not sure if we are talking about the same thing. The payment voucher used to be internal use only, but I now have to use that as the remittance advice because the remittance advice in Reports was removed from an earlier release. It is useful for the suppliers to see what I have typed in the description field as it makes it easier to see what the invoice is for other than going to the actual invoice in their accounts.
So I will clarify step by step
Go to bank transactions tab
Select spend money
Select account payable
select supplier
select invoice
If you save that, this will show in description - supplier --invoice. However if the edit mode above, you say put cabling for Client A, then it will cabling for Client A in view form. It does not show supplier or invoice number. Granted that I don’t need supplier name as its already on the top of the form, but the supplier receiving this remittance advice will not know what invoice this is for.
See picture attached. I typed test in the description field and it only shows test instead of Connectic Ltd – Invoice #xxx
the invoice to which the payment is applied is clearly shown in the line items.
why do you want to show the same thing in the Description also. also, the payment is not always made for a single invoice in one transaction.
that is what it is supposed to show. in the other lines you had selected the supplier and invoice number which is shown clearly. if you want to add any text create a custom field for Notes or enter it in the form Description field where you have entered Cabling Work for Office and Cabling for
Well in this particular case, the supplier had done cabling had three different locations. So what I wanted was to have supplier name - invoice and then Client Cabling Location. It just makes it easier for a supplier and me to see at one glance what each invoice is for eg invoice 454 is for cabling at that site and invoice 453 is for cablig at this site type of thing.
I am not showing the same thing. on first line it would be cabling at site a, second line was meant to be cabling at site b and last line was meant to be cabling at site c. So a description for each invoice. Of course there is the general payment description in the heading.
I am not worried about it as I will not fill out the description line fields in the future. My question was simply whether this was a bug as I thought the point of the description field in the line view was to add to supplier and invoice number not to replace it. However, I can see the logic of the description field in the line view replacing the default content, so I will just stick to leaving the description line field empty. Thanks
i do not know if it is a bug because i have never used the description field personally. i did not have any use of it. maybe the description field shows because all the forms are designed similarly. @lubos can explain better why the description field shows what it shows and not as separate columns for party, invoice number and description in the final document.
Might be worthwhile for him to review as I don’t really see the point of having the Supplier name in the Description field as its already at the top of the payment form anyway. So he might want to review the whole form anyway.
The recipient of the payment is not always the same entity that issued the sales invoice resulting in a purchase invoice. You might receive an invoice from a subsidiary of a larger company with instructions to make payment to a central account processing department.
