New format for invoices & statements

I am writing to express my frustration and dissatisfaction with the recent changes in the format of invoices and statements sent out by your system.

Previously, there was a convenient button that allowed recipients to easily view the invoice or statement directly from the email. However, it appears that this functionality has been altered, and now the invoice or statement is displayed within the body of the email itself.

While this may seem like a minor adjustment, it has caused significant inconvenience for both myself and several of my clients. Despite your system’s attempt to streamline the process, I have received numerous complaints from clients who are unable to view the invoice or statement properly. Instead, they have resorted to sending screenshots of the email, which is far from ideal and has resulted in confusion and delays in processing payments.

It is essential that invoices and statements are delivered in a clear and accessible manner to ensure smooth transactions and maintain professional standards. The current format not only complicates the viewing process but also raises concerns about the reliability and consistency of your system.

I urge you to reconsider this new format and restore the previous functionality that allowed recipients to easily access invoices and statements with a simple click. Alternatively, please provide clear instructions or troubleshooting steps to ensure that all recipients can view the documents without difficulty.

The issue was that this feature was broken in desktop edition. The link has been sent but the link would not work because desktop edition is offline system.

So the change is basically taking a step back to make sure all editions are consistent.

Is there any chance to show screenshot how the invoice doesn’t look correctly in email clients? I think there shouldn’t be any issue with default view. Modern email clients should display views and reports from Manager in good enough manner.

You can quickly fix the issue by enabling internal PDF generator. This will allow Manager to generate PDFs and send them as attachments (instead of link). It’s an obsolete feature but can work for you for the time being.

In the long term, I think the solution is new customer portal that I’m working on. Your clients will be able to log into Manager and see their customer account with invoices, payments, orders etc.

I agree with repeat business but not for one-off customers. @Lubos I encourage you to find better solutions as discussed in other topics also. You also show that the current obsolete PDF generator is still the best way, but for reasons you provided in another topic you cannot resolve this for more complicated languages such as arabic. Still I thinik that you need to consider making the internal PDF generator active again and remove it from obsolete but with your eloquent explanation that it will only work with basic English language businesses.

You can and should continue exploring alternatives. I also think that the link for non-desktop users as requested should be retained.

I totally agree with this, at least for the Server and Cloud Editions.

I think it doesn’t matter if there are differences between the Desktop Edition and other editions.
Like Desktop is only for single users while other editions support multi users, everyone should be able to accept it.

Some things I can report regarding Inlined email for today:

  1. The application cannot send invoices that use Qrcode.
  2. Images are not displayed in the Gmail client
  3. The image is displayed well, but the Invoice header display is not good

I have attached a screenshot of an email a client sent me to show what the invoice looked like. The statements are the same

I’ve enabled the PDF feature, but it only allows me to save documents as PDFs, not send them directly via email from the system. With over 500 clients to invoice, manually saving each invoice and statement before sending would be extremely time-consuming. I opted for this system precisely to streamline my workflow and minimize extra tasks.

I understand the situation better now. While I appreciate the effort to ensure consistency across all editions, it’s crucial to find a quick solution for the current issue. Unfortunately, relying solely on the desktop edition seems to limit functionality for online users like myself. In the meantime, I’m eagerly anticipating the new customer portal you’re developing, as it sounds like it will greatly improve the user experience for both us and our clients.

You also need to enable SMPT protocol and use your SMTP server settings providd by your email provided.
