Track monthly liabilities

Hi everyone

I have been using Manager.io for around 1 year and to date avoided to ask questions here as usually the guides and this forum do a good job of explaining things. However, I am now stumbling at a real roadblock and need to get one point straight.

About tracking monthly future expenses set: is there a way to have a consolidated report showing all transactions set to future dates for a group of specific accounts? Namely, I have 1) purchase invoices with a single payment due (either cash or credit card), 2) purchase invoices in installments (either credit card or cash payments), 3) other non invoice general commitments.

I know there is a report for vendor liabilities but it only shows invoices and just outstanding totals. Of course I could set up clearing accounts and rely on custom reports. However, I set up these accoints and fiddled a lot with the reports but could not achieve this. Several reasons, including absence of “OR” operator, queries returning duplicated/empty values with no filtering way that I can find, sort/group breaking some report for example.

Being a community version user, I really appreciate the software. Just need to know if I am missing the path for this.

Regards,

Mauricio.

Please note that I understand Manager has no built in way of splitting invoices in installments. It has to be done manually and I am ok whith that. What I am asking is if there is a way to report transactions with future dates, with totals, grouping several accounts, in an orderly way.

sorry if i’ve missed the crux of your question, but it sounds like maybe you want recurring transactions?

Manager is set up as a business accounting program, and so uses Accounts Payable to illustrate your liability to suppliers, and Accounts Receivable to show what you’re owed.

Payments and Receipts are the opposite side of this, they convert what’s expected in your chart of accounts, to actual money in the bank or spent.

If you’re entering payments with a future date, then that’s fine, you could likely use a custom report to filter out just these items.
Otherwise in the payments/receipts screen, you can make an “Advanced Query” to show only future dated transactions.

Hope this helps. A few more specifics of how your file is set up could help narrow the suggestions.

Thanks for the answer. I understand the procedure, but still it only applies to bank&cash accounts as per Manager restrictions. Thus, in order to get a single point of information I would need to tailor the COA AND operational procedures to use bank&cash accounts as workaround for register every future payment/revenue, including loans and invoices. Works for ad hoc outstanding expenses report, but I guess it may break other aspects of the system.

Also, this report does not support columns, does not support group by month and will present totals scattered along the sheets, as opposed to a consolidated column form where monthly and yearly totals are easily identified at the top.

What I am actually investigating is a consolidated view, including cash/invoices/loans/etc.

Mauricio.
