Re-useable invoices

Hey guys,

Is it possible to have invoice templates that generate the contents? ie, if I often have to create invoices with the same items (not recurring invoices as they don’t have specific dates).

Thanks for that. It’s what I’m using at the moment, but it means I have to first go look for a similar invoice. Would be nice if you could auto-generate from a button/dropdown or such :slight_smile:

one suggestion would be to simply create a custom field to show it as a column but not printed on documents. then for an invoice that can be used as template, enter some suitable text in the custom field to easily identify the invoice later. now use the search option and you can easily get to this invoice quickly.

Also, be wary of entering numeric amounts (quantity / costs) into these template invoices. It might impact on reporting, especially if you’re using accrual-based accounting where the income is recognised when an invoice is generated - not when a payment is received.

You might want to set the invoice date to something far in the future, e.g. year 2050. I think that will avoid most problems & might even make them appear at the top of the list without the need to search by a custom field.

@sharpdrivetek was not suggesting making invoices purely as templates, but was recommending a way to mark invoices in the Sales Invoices tab as being suitable for cloning.

Yes, they will appear at the top of the Sales Invoices list (in the default, date-sorted view), but they also distort quantities to deliver and generally interfere with inventory management. So this would not be good practice.

I’m not too familiar with the inventory management functionality - I’ve played around with it a bit, but haven’t used it for a live business. Thanks for clarifying & pointing that out. Certainly another issue.
