Quote to contract

Sorry…random question. Is it possible to convert/copy a quote in to a contract inventory? After a booking fee is made, I need to have a simple way of creating a contract agreement for the order. Any help appreciated. Thank you

What do you mean by a “contract inventory?” And what do you mean by “After a booking fee is made…?”

You can copy a sales quote to a sales invoice. See this Guide: Manager Cloud. But an invoice is not a contract. It can result from a contract. A contract is not an accounting transaction, so there is no provision for contract generation in Manager.

If, by “a booking fee is made” you are referring to payment of a deposit by a prospective customer, read this Guide: Manager Cloud. A deposit is an accounting transaction and can be posted on the account of the customer. That way, when the sales invoice is created at the end of the contract, the deposit will be automatically applied.

By the way, via custom fields, you can add signature boxes to a sales quote so a customer can sign to indicate acceptance. That turns a sales quote into a contract document. (But it still is not an accounting transaction.) If you are interested in that, search the forum. The subject has been discussed many times.

I don’t think “contract inventory” is the right terminology…sorry to confuse things. After a consultation with clients, I send out a quote for them to assess. If they would like to book me for the date, they pay a booking fee (can’t call it a deposit apparently as this can legal be claimed back if the client chooses to cancel) I need to be able to send out a list of what the customer is “contracting” to order, along with a contract agreement. Having looked at the custom fields as you suggested, I’ve decided that the “Sales order” can be used to do this really simply.

Not necessarily. That depends on the terms of the contract. Non-refundable deposits are common in business. Think of airline tickets these days. Many are non-refundable if you cancel the reservation. The point of a non-refundable deposit is that business receiving it may immediately start incurring costs to provide the contracted goods or services. You may not be able to recover those costs if the customer cancels. Meanwhile, you might have refused other business during the same time period.
