Purchase Invoice Suspense Account Issue

I have a Non-Inventory Item which has name, product code, price, vat and description. But not the account as it doesn’t always go to the same account.

When creating a Purchase Invoice and selecting this Non-Inventory item it will input all the details and show account as suspense which is exactly what should happen. The problem is that there is no way to change the account from suspense to whatever account I actually want. Not if you have selected a Non Inventory Item that does not have a specific account selected.

That is exactly what is supposed to happen. One of the primary reasons for using non-inventory items is standardization. The target accounts are defined and fixed precisely so some ill-advised user cannot scatter transactions through multiple accounts and doesn’t have to remember or look up whether the purchase of copier paper is to be posted to the Office, Supplies, Printing and Stationery, Administrative, Staff support, or Equipment maintenance expense account. All could seem logical, but if every ream of paper shows up in a different account, it would be hard to figure out how much you spent on copier paper last year.

This is really no different than fixing the item’s name. You would not want purchases of that copier paper showing up variously as copy paper, Xerox paper, copier supplies, printer sheets, inkjet materials, and so forth, based on what your purchasing clerk was reading off the Amazon web site’s description.

Oh Ok. No problem. I just assumed that Non Inventory Items were just shortcuts where you autofill what information you wanted. Anyway, I had to move that particular expense to the Fixed Assets so problem sorted either way.

In a way, that is true. But you don’t get to pick and choose. You’ll either have to define multiple non-inventory items for different target accounts or enter the line items manually.

I understand your perspective completely. The trouble is that accommodating it would negate many benefits of the feature that others rely on.

It’s not a problem. I prefer the current setup design as it ensures conform-ability and automates as much as possible. It is exceedingly rare that I would want a Non Inventory where the item could go into different accounts.
