Credit Card Reconcilliation

I am new to Manager.io, used to QB. I don’t download bank checking acct info, I edit it daily but would like to do the cc entries in bulk. I have the latest desktop version. I am looking for advice on importing cc transactions. My initial thinking is to export from the bank to cvs, manipulate into categories with sub totals in a spreadsheet then enter the sub totals one at a time into Manager.io PS I tried to locate a category to post this to but could not find one under reconciliation. All the choices were countries. I apologize if this is posted incorrectly.

Thank you. At the same time I discovered (by accident) that there is a bank import which works for all cash accounts, including cc. It even supports QBO format. I am going to try that. It is outlined in the links you and Tony both sent me. Thanks again. Skip

I set up Bank Rules but the import ignores them. That is my current issue. I have been working with the Manager.io AI and Gemini AI trying every idea we collectively had but the import goes fine but the Rules are ignored. Everything gets posted to Suspense and ends up in my Equity account Suspense. Then I have to edit them and manually code them to the correct expense account.

There are quite a few requirements so it will help if you post screenshots.

  1. Once you imported a bank statement you will see numbers in the columns labelled Uncategorized Receipts and Uncategorized Payments. (Show this screenshot)
  2. Clicking on the number under Uncategorized Payments lists these payments. Each of the payments has a button at the end of the Description saying New Payment Rule. (Show this)
  3. Clicking this button and setting up the rule (show this) and clicking Create takes you back to the list of transactions.
  4. On this payment list the Suspense account will now have a strike-through and the new account will be listed. (show this)
  5. You still need to select the checkbox on the left and click Batch Update to confirm the change of account.

I have not seen any screen with Uncategorized Payments. Probably because everything does get categorized. It is categorized Suspense and entered in that account.

Note nothing is uncategorized. It is just dumped into Suspense as a category (account) and does not follow any of the rules. I understand that is what happens when a match is not found. I don’t know why I can’t match anything with a rule. I have not tried entering the full Description so far, just enough to define the Contains query. If it requires an exact match of the full description that will be better than nothing but not great. I don’t think that is the way it is supposed to work.

As an aside, I think Manager has changed the screens and behaviours of many options and relocated them. It is really common for AI to tell me to choose selections on screens that don’t exist. A LOT of things have moved from version to version. They exist somewhere but not where the AI help thinks they are so screen shots is the best way I have found to communicate. The BOT sees the option they are proposing isn’t there and finds another way or a different location.

If you look at your screenshot you are in Summary > Suspense.

I find if you go directly in to Payments or Receipts after import, it is easier to categorize the transactions (with or without your bank rules) and faster if you go to the bottom and click on Find & Recode.

That way you can check that your Bank Rules are configured correctly or just quickly do them yourself.

Ask your ai to confirm that your Bank Rules are configured correctly.

I’ve no idea how you imported a bank statement! This is what I I see in Bank and Cash Accounts after importing a bank statement. Note the Import bank statement button.

If I click through the Uncategorized Payments link I see this:

I already have a bank rule for the 2nd transaction here, but this transaction is still in Suspense until I check the checkbox alongside the transaction and click batch update

It was your step 1 that I did not understand. “You say you will see numbers in the columns labelled Uncategorized Receipts and Uncategorized Payments.” But I never saw such a thing because I didn’t know where to look. I never thought to look under the Payments tab. I looked at the bank and the Suspense field and tried to fix things from there and from the Rules. I notice your version shows the uncategorized when you look at your cash accounts Bank. Mine doesn’t show there, or if it does I never saw that. To find my list I had to click Payments then “You have some Uncategorized Payments pending” as a blue clickable link. Clicking that link took me to the list.

The rest of the steps don’t matter if you can’t find the “Uncategorized Payments”. Coming from a system that follows the rules on the import I was not expecting a second process so assumed the Uncategorized List you mentioned was from a different version of Manager since I didn’t think I had such a list because I didn’t think to look under Payments and did not see it under Cash Accounts.

Now it is all simple and works exactly as you say.

It is sometimes hard to think of a step that seems so obvious to the one who uses the system. No one, not eve AI, said to click on the Payments tab. I guess it is obvious to everyone who is used to the Batch concept in Manager. As a new user who has used QB for 30 years and never seen a batch it was not so obvious. :grinning_face:

Yep. Your tip to go directly to Payments solved the mystery. Once I found the uncategorized list it was easy peasy. I don’t know if the Uncategorized list doesn’t show under Bank Accounts or I just never saw it. But the Payments tab solved it for me. Thanks. - Skip
