Register journal vouchers in batches

Good day, esteemed colleagues.
I’ve been a Manager user for a year, but I’ve always had difficulties with batch registration. Firstly, the language I use isn’t English, and secondly, I’ve tried many times to figure out the correct way to register in batches, but I haven’t been able to.

I can access the template that the system provides, but I don’t know how to fill it out.

Could any of you share a completed Excel file with me as a guide to help me understand how to fill out the form?

You don’t need a pre-made Excel file. Manager generates the exact template you must use for each screen. Here’s the reliable way to learn and fill it in, even if English isn’t your primary language.

What to do (works for Customers, Inventory Items, Sales Invoices, Payments, etc.)

  1. Go to the tab you want to import into (for example, Customers).
  2. Click Batch Operations > Batch Create.
  3. Click Copy to clipboard. Then paste into your spreadsheet. The pasted row is the header line you must use. Fill your data underneath it.
  4. Copy only your filled rows (not the header) back into the Batch Create box in Manager, click Next to preview, then Batch Create to finish.

If you’re unsure what values belong in each column

  • Create one or two entries manually in Manager first.
  • Go back to that same tab and use Batch Operations > Batch Update > Copy to clipboard.
  • Paste into your spreadsheet and examine the columns and formats that Manager itself uses. This shows you exactly what to put in each field for Batch Create.

Important tips most people miss

  • Referenced fields (accounts, customers, items, bank accounts):
    • These often require the unique ID (GUID) or a Code. You can copy GUIDs via Batch Update from the referenced list and use them in your import; using Codes is also supported where applicable.
  • Checkboxes/booleans:
    • Enter True or False (for example, “Amounts are tax inclusive”). Note that some options (like “Automatic reference”) may still require manual adjustment afterwards.
  • Multi-line fields (addresses, notes):
    • Keep them in a single spreadsheet cell with line breaks (Alt+Enter). Manager reads the newline characters correctly.
  • Don’t include “Key” when creating:
    • If you copied a Batch Update table to use as a model, remove the Key column and any example rows before pasting into Batch Create.
  • Each tab has different headers:
    • Always generate the template from the exact screen you’re importing into. Do not reuse a template from another tab.

Small, generic example to illustrate structure

  • After step 3 above, your spreadsheet will have one header row. You’ll add your data as rows 2, 3, 4, etc.
  • For example, in Customers you’ll see headers specific to customers; you’d then enter something like:
    • Row 2: your first customer’s code/name/contact details
    • Row 3: your second customer’s code/name/contact details
  • Copy just rows 2–3 back into Manager’s Batch Create box and proceed with Next.

Why there isn’t a single “universal” sample file

  • The required columns differ by screen and by the features you’ve enabled. Manager intentionally gives you the precise header line you need via Copy to clipboard so you don’t have to guess.
