COA Questions (Purchases & Inv Cost)

What would cause entries into the Inventory Cost and Purchases accounts on the summary page.

Normally everything purchased goes into inventory on hand from a direct purchase (payment) or a purchase order.

These are all in my last years numbers. (22 Purchases) and (52 Inv Cost).
So far for this year it has not done anything like that.

Any ideas or more info I can provide to figure this out?

  • Inventory on Hand is updated on the date indicated on the Purchase Invoice. The inventory quantity adjustment date can set to a different date if you enable Goods Receipt (this is very difficult to reverse if you enable it).
  • COGS is only updated if you run Recalculate in the Inventory Items tab.
  • Did you check that the date range of your Summary is set to reflect this year?

I guess I need to clarify what I mean. I have a lot of items listed in negative inventory clearing where the item purchased was used in a sales invoice, but that item is listed in n

egative inventory clearing. Why would that be and how do I fix that?

Looks like you selled this item short and this caused two things:

  1. Your Inventory Qty turned negative for the period from 11 Dec 2025 until it was replenished on15 Dec 2025. That is completely normal for when selling short and it’s only a temporary deference resolved from 15 Dec onwards.

  2. A more serious side effect is that your sold quantity has no unit cost. This is because you had ZERO cost in your inventory at the time of sale. To fix this, you should click on Recalculate button and it should correct your ending inventory value down to ZERO again.

I dont see a Recalculate button.

It’s right on top of Unit cost column:

ok thanks i’ll try this.

Thank you for your help. This resolved my problem.
